Preventive Maintenance / Energy Savings

• Clean and adjust blower components to provide proper system airflow for greater comfort levels. Airflow problems can reduce your system's efficiency by up to 15 percent!
• Check all gas (or oil) connections, gas pressure, burner combustion and heat exchanger. Improperly operating gas (or oil) connections are a fire hazard and can contribute to health problems. A dirty burner or cracked heat exchanger causes improper burner operation. Either can cause the equipment to operate less safely and efficiently.
• Inspect, clean, or change air filters. A dirty filter can increase energy costs and damage your equipment, leading to early failure.

Oh and HOW time flies...!

Time flies...

Back in January, I made a resolution that I would build-up my CMMS database and get to adding the information that has been sitting on my desk (or in a drawer). So, as you can tell, that information never made it into the CMMS system. Now, it's Spring and that old saying came to mind, "Spring cleaning" (my desk and drawers, first?).

Time to get to that list of things ...to get cleaned and organized (after all the snow has melted and the warmer temperatures have arrived). Summer is not too far behind. I shall do some Spring cleaning of my CMMS software package - and clean-out some of the data that is not needed.

Let's see ...what equipment or asset has been scraped? Or sold - items that might still have parts, PM’s, Task, missing information, and any other information associated (stuff that is no longer needed) - and has become, "clutter".

Now would also be a good time to archive and to correct those misspelled words that a couple of Technicians keep giving you a hard time about.

Ah-hah! Now, I remember what I did with all the info that I was going to add last January. It's ALL still in my "To-do" folder - which also reminds me ...I need to clean-up the scheduling of the CMMS jobs.

Yep, maybe "NOW" would be a good time to look at your CMMS data too ...to see what "clutter" (you DO have some, don'tcha?) can be gotten rid of, and perhaps you also can get to adding some of the information that you've collected (but haven't taken the time to enter)?

As long as you are looking at your data, wouldn't it be a good time to implement some Best Practice guide lines?

Best Practices:

- Make sure your data is clean, consistent, accurate and complete.
- Clean: No spelling errors, and any unnecessary information.
- Complete: all of the fields in each record have been populated.
- Accurate: Correct information.
- Consistent: Stay with agreed upon numbering and naming convention.

Here are just a few of the tasks that would need to appear on the PM sheet.

- Contactors condition
- Evaporator condition
- Compressor amp draw
- Supply motor amp draw
- Condenser fan(s) amp draw

By having a good PM program, you would be able to list: all your Equipment items; their capacity; service date; hours of operation; who performed the work; when it was completed; what tasks were completed; and also capture, parts and labor costs. This is just some of the information you would have available. You would enjoy the piece of mind knowing the condition of ALL of your assets. Remember, cooling season is just around the corner. Wouldn’t be great to avoid some of the alarms, and the phone calls? Why not take advantage of the incentives and SAVE 20% to 30% - extend the life of your assets!

And make yourself "look good", for having done so!

Foretell the Future? - Predictive Strategies

If you could "look into the future" at your Facility, what would you want to see in the area of maintenance?

Well, we all know that we can not look into the future - no more than were we to "blink twice and wiggle our nose" - such that our Facilities Maintenance problems would, simply "disappear". But we do have the tools at our disposal to help the future be brighter. The CMMS tool that is often under-utilized is: Scheduling.

Planning and Scheduling is a scheme with a purpose. It's intended to utilize your existing maintenance (or contract) resources to reduce downtime and minimize the overall costs.

That is accomplished through:

• Prioritization of work
• Machine availability
• Resources
• Tools and materials availability
• Scheduling the work to be done

The establishment of priorities is always 'step-one' of the plan. Schedule extra down-time, if necessary, with appropriate personnel. Have all tools and materials needed to complete the work ready in advance - so that, only jobs (for which materials are available) are scheduled.

If that sounds way to simple, it may be the case for you, but think about how many times someone has said, "Why was that job completed before 'this or that'..." or "You can’t take that machine now..." or "The machine has been taken out-of-service...", and "The mechanic needs 'such-and-such' tool or part, but those won't be available for a week".

When that sort of thing happens, we all wish we could just, "blink our eyes and wiggle our nose", to disappear!

Wow! When I think back to when I started in Maintenance using a paper calendar and index cards, I thought THAT was "High-Tech" for our company, at that time, a few shots of grease was PM! Worse yet, we did not even have a work-order system.

I still remember (back in the 80s) how people were saying that "Technology" would double every year, and so far, I think it has...
Now the word on the street is that "Mobile" and "Barcode" will explode in the next 5 to 10 years. I will tell you what I think... I am willing to bet it happens sooner than that. Think about it for just a minute, we have been asked to do more with less: the budget-cuts, the layoffs, no overtime. I am sure that you have your own set of circumstances to contend with. So let’s talk Mobile and what it can do for you and the company. After all, the name of the game is: efficiency and the protection of company assets.
• Technicians can scan a piece of equipment and instantly update maintenance records.
• With mobile devices, technicians have access to history and other pertinent information while performing inspections and repairs.
• Technicians can check stock for parts needed.
• Adjust physical inventory
• Update task, parts and labor
• Look at the asset history for information such as what was last done or special instructions.
• Create work orders
• Capture performance data on the spot.All this can be done without going back to the shop to look for a part or get information on the asset. Instead of writing all the information down on the work order and then record that into the CMMS, the chances of missed information and time spent is significant. By using Mobile, you have it in the system, and the input is accurate - on the spot! At that point, you have accomplished the elimination of paperwork, and improved data collection. That alone has just improved the efficiency of your department. According to some estimates - out of every four work orders, only one gets properly closed. CMMS and you...

After 30-plus years in some type of maintenance role, I find it very interesting how the whole PM system has grown and yet has a long way to go. It seems that many companies, either large or small, still do not see the importance of a strong Maintenance Program to protect their assets ...and that includes their people and the environment. Some of the reasons I have read about (or people that I have had conversations with: Maintenance Managers, Facility Managers, and top Executive opinion) are the most common reasons cited to explain this - a lack of sufficient resources. For me, that is just an excuse for not understanding the cause and effect of, not doing. What ever happened to, "if there is a will there is a way" ?

Let’s just talk about ENERGY and HVAC and the effects and consequences, when not maintained. The approach to maintenance with respect to HVAC systems is particularly troubling, given the role that HVAC systems play in today’s facilities. HVAC systems in typical commercial buildings are responsible for more than 40 percent of total energy use. Keeping HVAC systems running properly and at peak efficiency is the first step in managing facility energy use. Take a facility that houses critical equipment that must maintain a certain temperature and humidity. Temperatures and humidity levels that fall outside of this range can lead to interruption in services and even costly system failures. Sometimes the difference between keeping a business running and having to shut down is nothing more than having a proper HVAC maintenance plan in place and performing the required tasks. It has been said that a well maintained HVAC system will use at least 15 to 20 percent less energy than those systems that are not maintained. Not only do you cut energy usage, but other things to consider would be Safety of personnel, Environmental impact (if you have a release of gases), down-time, and the cost of a major rebuild.

Now-days, with all the talk about Green and Energy, why not have a Maintenance Management System in place? Or, if you do have a Maintenance Management System, how are you using it? With all the Energy cost savings plans that are in place and because of the economic crunch that everyone is going through, is now the time to take the opportunity to look at what you are doing with your resources ...and how better to redirect your efforts for cost savings? Whether it be an Audit of your Maintenance System, an Energy Audit using an outside source (that by the way is free in most states), contact your energy provider for the details. The key to all of this is a strong CMMS, by strong I mean having a good data base with asset information, PM tasks and schedule, vendor and parts list, critical equipment backup information, the list could go on and on... Which gets back to the first comment that I made, PM systems have grown over the past 30 years, but they still have a long way to go. Not only do CMMS companies need to grow with the times, but you as an owner of a CMMS package, you need to unlock the potential that you have at your disposal. The number of companies that have a CMMS use about 30 to 40 percent of what is available to them. In the long-run, the effort that is taken will pay for its self by reducing down-time, costly repairs and time wasted (of the recourses you already have).

What this all boils down to is, how well you manage your assets. And that will effect the Energy we use, the Environment, and the all-important "Bottom Line".

Why do I need CMMS?

Why do I need CMMS? After all, we seem to be getting along very well without CMMS ...as far as I can tell. We replace a motor now and then, we lose some production some time, because of a break-down, or we wait a week to get parts. The maintenance budget has been exceeded by 10% to 20% the last few years - this year it looks like it will be around 30% to 40%. We had a few major breakdowns and a lot of over-time hours, as maintenance had to work a few days around the clock, plus the parts had to be rushed-in from over-seas. Now that I am starting to think about it, I have noticed a lot more contractors on-site the last 6 months and we have no major projects going on.

Just now, as I am thinking about this... the Plant Superintendent came into my office and is telling me that we missed a major shipment to our Number-One customer and we will not be able to fill the order for a week. A few months back, we missed a shipment to this same customer and because of this missed shipment they pulled their contract. As it turns out, without this contract we will need to let half the work-force go and if we cannot land another major contract, we will have to shut the doors.

I bet a lot of you who are reading this have lived it ...or have heard it before. I will be honest, CMMS is not the cure all but it dose help to avoid a lot of the pain.
